Job Summary :Responsible for all administrative tasks pertaining to the branch. They support the Branch Leader and are responsible for Payroll, AP/AR, Petty Cash, Inventory Control, Collections, Scheduling, Ordering, etc.Tasks and Responsabilities :Responsible for all administrative tasks pertaining to the branchResponsible for Payroll, AP/AR, Inventory Control, Collections, Scheduling, Ordering, etc.Support the Branch Leader as neededReview and enter orders and completed jobs in BF Insight and NavisionPrepare daily bank depositUpdate BF Insight and Navision with all deposit and payment related dataTrack accounts receivable and conduct collections activitiesPrepare and maintain petty cash expenses and replenishment reportsPrepare payroll and submit manager-approved information to payroll departmentUpdate BF Insight with all-time reporting data, commissions, special payments and deductionsPrepare and submit time sheetsPrepare all orders for goods from the factory and outside vendors for the manager--------s approvalReconcile factory and vendor packing slips with original order formsPrepare count sheets for inventory and enter completed counts in NavisionSubmit manager-approved payables to the accounts payable departmentPrepare the Weekly Installation Schedule for the manager--------s reviewSchedule installations and service calls with the customersAnswer incoming calls and set appointments with customersPrepare financial and operational reports from BF Insight and Navision for manager as requiredEnsure month end-closing process is followed; which includes closing all orders, prepare and submit month end financial statements for processingPrepare and send out Thank You cardsOrder, assemble and mail materials for direct mail campaignsSchedule vehicle maintenanceHandle routine correspondenceAdhere to all safety policies and proceduresAbide by all Bath Fitter policies and proceduresAttend and participate in regular branch and/or regional meetings and training sessionsPrioritize work activities, uses time efficientlyProfessional Dress and/or uniform, neat in appearance, observing rules of good grooming and hygieneRegular Attendance and punctuality is requiredPerform other duties as assignedEducation and/or Experience -----" High school diploma or general education degree (GED); and six to twelve months-------- related experience and/or training; or equivalent combination of education and experience.Job Requirements :Education and/or Experience -----" High school diploma or general education degree (GED); and six to twelve months-------- related experience and/or training; or equivalent combination of education and experience.Physical Demands - The primary physical demands of the Administrative Coordinator is sedentary work that primarily involves sitting/standing. Occasionally includes light work that includes moving objects up to 20 pounds.Physical Activities - The Administrative Coordinator position requires the regular performance all the following activities during daily work.Lifting files and office equipment 1-30 time per day weighing 1-2 pounds.Standing occasionally.Sitting frequently and constantly.Walking occasionally to communicate, greet customers, and file documents.Bending/Twisting occasionally to file from seated/standing position.Squatting occasionally while filing from standing position.Reaching above shoulder up to 54----- with the visual boards.Other Physical Requirements - The Administrative Coordinator position requires the following physical requirements:Seeing including near, far, and depthHearing to communicate with co-workers, customers, vendors, and hear announcementsTalking to communicate with co-workers, customers, and vendorsWearing proper PPE including mask, gloves, and headsetDemonstrated Skills :Effectively using computer workstations, various software and video conferencing (i.e. Zoom, Teams, Skype)Able to speak clearly and persuasively; write clearly able to read and interpret written informationAbility to work collaboratively within the team for a common goalAble to demonstrate accuracy and completion; monitors own work to ensure quality.
