  • Coordinates, oversees, and assures the smooth operations and workflows of the clinic functions
  • Provide day-to-day direction and coordination of assigned services and programs; ensuring the assigned practice manager(s), clinics and programs are oriented towards patient care, comfort, and convenience.
  • Plan and coordinate the care of the patient entering the assigned services, clinics and program for screening or diagnostic services, assisting them through the points of care as appropriate; primary care, medical imaging, general surgery, oncology and other disciplines as needed.
  • Monitor flow of patients, work to resolve patient delays, plan and/or create systems that allow for patient to have access to services in a timely manner.
  • Demonstrate clinical knowledge by acting as a resource; work with providers and affiliated clinic staff to create a team approach to care.
  • Work with providers and staff to identify issues of mutual concern, solve problems, review staffing plans and overall operation of the program.
  • Maintains throughput and access to services.
  • Monitors patient volume to ensure volume budgets and goals are achieved
  • Promotes a service-oriented team approach to the services and work environment of assigned services, clinics and programs
  • Develop and implement an ongoing process for problem-solving that includes input from all CMH stakeholders and representatives.
  • Organizes, coordinates, and delegates work, ensuring clinic operations run in an efficient and effective manner
  • Maintains skill in back office and front office roles so as to provide back up for these positions as directed by licensure and scope of practice
  • Develops and implements procedures and protocols related to front office and back office processes
  • Researches and resolves issues and concerns regarding office operations, functions, and related matters
  • Promotes and maintains effective communication among staff, providers and management
  • Demonstrates exceptional customer service in a highly stressful environment
  • Addresses client concerns promptly using customer-service
  • Oversees staff by providing direction and guidance to maintain a team environment through training, recognition/evaluation and in-service education
  • Recruit, orient, and train practice manager(s) and staff. Interview and select candidates who have appropriate skills and professional characteristics to match departmental needs.
  • Develop and support an environment in which staff learning is supported and stimulated.
  • Act as a consultant and clinical resource to program staff through provision of patient care and coordination of care
  • Schedules staff and coordinates time off requests, i.e. vacation and leaves, and coordinates replacement staff as needed with the float pool scheduler and practice manager(s)
  • Observes and appraises staff performance to assure competency meets unit standards
  • Coordinates with the various Chiefs and Medical Directors to assess the effectiveness of the team, to include Physicians, Advanced Practitioners, MAs, and Ancillary services staff
  • Plan for changes in care by conducting regular meetings with staff, providers, and CMH administration.
  • Develops department staff through ongoing education, on-the-job training, and evaluations
  • Acts as a resource to the staff, resolving issues, and providing feedback as needed
  • Assures compliance with health systems affirmative action goals and policies
  • Counsels staff on performance as required and effectively recommends employees for transfers, promotions, demotions, training and termination
  • Participates in progressive guidance and disciplinary action as needed, assuring all matters are handled in accordance with applicable policy and procedures
  • Maintains established policies and procedures including safety, environmental, and infection control standards
  • Initiate the development and revision of policies and procedures specific to assigned clinics, services and programs.
  • Ensures the clinic meets regulatory and internal standards, including guidelines of the US Department of Health Services and participates in regulatory audits and inspections.
  • Assures that services and programs support and maintain any applicable accreditations, and JCAHO preparedness.
  • Participates in community marketing of assigned services and programs, and specifically the surgical oncology related services at CMH
  • Facilitate and participate in development of strategic planning and implementation of the CMH goals for designated services.
  • Act as a spokesperson for the surgical oncology and related oncology services within CMH, other stake holders and in the community.
  • Represent the oncology institute team on appropriate committees and interact with community, regional and national agencies related to oncology services as needed.
  • Collaborates with community providers and clinics, offering marketing materials, explaining services being offered that can support their practices and patient populations
  • Collaborates with other Clinic Managers in the effective identification and resolution of office practice issues
  • Participates in the financial performance of the clinic
  • Provides input into the annual budget process and monthly review of financial reports
  • Responsible for meeting year end flex budgets and labor targets for expenses and FTEs
  • Oversees clinic office purchases of supplies and equipment, controlling and reducing expenses
  • Oversees staffing plan utilizing flex budget to increase or decrease staffing levels as needed
  • Participates in special projects in collaboration with staff, acting as project lead as needed
  • The Director, Surgical Services will help to develop, oversee, and implement key strategies adopted by the CMH system and by the surgical service lines at CMH.
  • Along with the Vice President of Surgical and Oncologic Service Lines, the Chief of Surgery, and the Chief of the Oncology Institute, identifies, implements and operationalizes strategic partnerships with various third party clinical and service providers.
  • Operationalizes key components of joint ventures, joint operating agreements, and other strategic partnerships relating to the overall clinical and financial success of the surgical service lines.
  • Implements operational plans to meet strategic, financial and clinical goals
  • Performs research and analysis on special projects as assigned
  • Maintains professional growth and development through seminars, workshops, and organization offered programs
  • Participate in professional organizations in specialty area and utilize research as the basis for improving patient care
  • Stay abreast of new technology in related equipment and supplies; act as a resource to other disciplines.
  • Remain current on new treatments and best practices for the operations and delivery of care for cancer and surgical oncology services.
  • Adjust and improve systems as necessary to respond to changing health care environment to meet cost effective quality care.
  • Confidentiality: Maintains confidentiality of information at all times.Education and Experience:
    • BSN or, Bachelors degree in related field.
    • Masters Degree in Business, Nursing, or related field, preferred.
    • 5-7 years of experience in patient care services in a progressive leadership role.
    • 3-5 years of relevant business and/or clinical experience overseeing large or otherwise complex surgical departments.
    • Experience with program development; surgical program experience preferred.
    • Front office staff in a medical office setting, including scheduling, billing, insurance reimbursement, OR
    • 3-5 years of experience and demonstrated skill in a Managerial (multi-practice management, Manager, Director level or equivalent)Knowledge, Skills and Abilities:

        • Experience in physician/medical setting procedures
        • Excellent skills in the use of personal computers and related systems and software
        • Knowledge of CPT-4 and ICD-10-CM coding

        • Skill in mentoring staff and providing effective coaching and feedback
        • Excellent time management skills for self and staff
