The Lead Medical Assistant is an integral part of our diverse team, embracing our culture of well-being and kindness, and contributing to constant improvement. The ideal candidate will have a proven ability to work with and lead a diverse team. He/She/They must be able to assist in maintaining efficient patient flow and quality care during clinic hours. The successful candidate is extremely well-organized and proactive in identifying potential issues and addressing them. This position assists in training new staff. This person will work as part of a health care team including Practice Manager, Physicians, NP/PA's, and others to provide comprehensive care in a non-judgmental manner.This person will be a strong self-starter, communicative leader and collaborative team player that is energized by the ambiguity of a fast paced, high-growth environment with the opportunity to pitch in where needed. Responsibilities include a hybrid of on-site and off-site work with the goal of providing a seamless, integrated experience for patients and care teams. This role will be part of a team that will frequently prototype new ideas, including digital tools, care team roles, and workflows, that may be used in designing for the future of ambulatory care across MGB Integrated Care. What You'll Work OnThe Lead Medical Assistant will:Provide back up support for other medical assistants and support staff within scope of practice, assisting in the supervision of work and performance of clinic support staff as instructed by the Senior Practice Manager.Provide input for performance reviews and corrective action plans as needed to the manager.Assist with training new and existing staffCreate clinic coverage schedule for Medical Assistant team with assistance from Practice Manager when necessary (i.e., vacations, call outs, switches, etc.)Respond to real time coverage issues/concernsEscalate any competency concerns and operational issues related to the Medical Assistant team to the Practice Manager when necessary.Provide informal supervision of center staff in collaborations with the Practice ManagerWithin scope of practice, assist as needed including medication refill requests, specialty and procedures pre and post clinic chart reviewReview charts, lab test results, and encounter forms for completeness and to assess follow-up as needed and communicate to the Practice SupervisorAssist with clinic scheduling problem solving, patient wait times, and other areas of concern to increase efficient and quality services in the absence of the Practice ManagerWorks collaboratively with clinic staff on programs to improve patient outcomesParticipates in quality improvement activitiesPerform other administrative tasks and clinical care as assignedSupports Practice Manager with oversight of dispensary logs and storage to maintain quality assuranceSupports Practice Manager with coordination of weekly center inventory, ordering and supply stock maintenance of medical and office suppliesAssists with daily and monthly quality assurance reviews as requestedAssist with other administrative projects and tasks as neededEnsures completion of Daily Opening and Closing ProceduresKeeps informed of personnel policies and incorporates them in personal practice as neededUnderstands performance expectations and strives to meet those standards through periodic formal or informal conferences with his/her direct supervisorUnderstands overall goals of the MGB Urgent Care, and their impact on the centers, staff and patient careAssists Practice Manager with the planning of center activities, inspections, projects, etc.Collaborate with the Leadership Team to promote a high level of employee engagement through creation and maintenance of a professional, effective, efficient, rewarding and inclusive working atmosphere.Provide feedback on staff performance on a regular basis to leadership teamPerform special projects as assignedAssuring efficient patient flow management for in-person and/or virtual visits for a variety of specialty practices including but not limited to: primary care, behavioral health, orthopedics, rehab, cardiology, and more!Assisting the provider and/or nursing staff with patient care before, during, and after the visit including but not limited to:Rooming, data gathering and documentation, patient examination, procedures and treatments as directed, follow-up communication, patient education, and responding to needs to expedite visits and keep on scheduleImproving patient experience by interacting with patients in a professional, friendly manner consistent with their needsMA Responsibilities include:Assuring patient Medical Record is complete prior to the visit and preparing patient for examination (may happen in person or virtually):Checks patient's identification using two identifiersDocuments chief complaint and symptom(s) in the medical recordDocuments interval medical and family history in the medical record Reviews current medication list in Epic and prescriptions that need to be renewedDocuments all drugs and other allergiesReviews record for immunization and other health monitoring needsInstructs patient in how to prepare for the physician or nurse practitionerVital Signs and Exam Preparation (in person):Obtains age-appropriate vital signs and other measurements appropriate to visitAnticipates / sets up special equipment and/or supplies needed for the visitAlerts the physician or nurse practitioner when patient is ready and communicates pertinent clinical informationCleans and prepares room for next patientAssists the Provider and/or Nursing staff with patient care during the visitAdhering to hand hygiene and standard precaution guidelines, employing additional precautions as appropriateAssuring efficient patient flow (may happen in person or virtually):As applicable, assists patient through visit wrap up process when visit is completeResponds to needs to expedite visits and keep on scheduleCollecting specimens and performs CLIA-waived tests according to protocol (in person).These tests include but are not limited to:Blood (phlebotomy)Clean-voided urineSputumFinger sticksStool for occult bloodRapid strep testingHCGs (pregnancy tests)Obtain throat culturesAssist with collection of gynecologic specimens for STI and Pap SmearsAssisting provider and nursing staff with patient examination, procedures, and treatments as directed (in person):Performs other tests, procedures, and treatments as directed.These include but are not limited to:Visual acuity testsSimple dry, sterile dressingsNasopharyngeal swabsElectrocardiograms, office spirometry, peak flow, administration of nebulizer treatmentsImmunization administrationPatient educationMaintaining neat, clean, and safe exam rooms and treatment areas (in person):Assures patient care areas are neat, clean, professional-lookingAssures exam and treatment rooms are properly stocked, equipped, and secured as applicableAssures all equipment is in good working orderCleans exam rooms and equipment after each patient use per office protocolsDocument testing / results per practice protocolsUsing appropriate flow sheets and screening forms for chronic disease managementAssisting the Provider and Nursing staff with work outside the visit related to managing a panel of patients (may happen in person or virtually):Performs designated tasks related to tracking test results and may communicate normal test results to patients as directed by a physician, nurse practitioner, or nurseAssists physicians, nurse practitioners, nurses, and navigators in coordinating care with / making referrals to community agencies for non-clinical servicesRemote Clinical Coordination Responsibilities Include:One call resolve - clinical phone calls or patient portal messagesRefill set-up & medication reconciliationSymptom screening and routingAfter visit/post procedure check-inNew med/symptoms check-inOther duties as requestedThe MA is also responsible for other tasks consistent with his/her training and skills, including cross coverage in our Salem, NH specialty clinicsCustomer service and professional behavior expectations:Adhering to YouCompletion of a formal program in Medical Assisting is requiredAt least 3-5 years of experience as a Medical Assistant.
