Seasonal Event Coordinator | May–October Newagen Seaside Inn is
seeking an organized, energetic, and people-loving Seasonal Event
Coordinator to join our team from May through October. This role is
hands-on and fast-paced, centered on delivering unforgettable
weddings each weekend and supporting a variety of on-site events
throughout the week. You’ll work closely with couples, vendors, and
our internal teams to ensure each event runs smoothly, feels
personal, and reflects the relaxed elegance Newagen is known for.
From final timelines and vendor coordination to calm, confident
on-site execution, this position is perfect for someone who thrives
under pressure, loves hospitality, and takes pride in creating
exceptional guest experiences. Position Summary: The Event
Coordinator is the liaison between the Director of Sales and the
client, facilitating all schedules/timing for group events,
ensuring that all elements of the contract and Banquet Event Order
are executed to Newagen’s standard of excellence. Essential Duties
and Responsibilities: Assists in the hiring, training, and
scheduling of event staff. Manages all event set-up and tear down.
Is proficient in and utilizes Microsoft office and event software
for client communication, event planning, and document preparation.
Works directly with client in the 30 days leading up to event to
identify requirements, expectations, and finalize BEO. Participates
in scheduled meetings with management team to ensure each inn
department’s cooperation to deliver event. Delegates tasks to all
event staff with supporting checklists and specific BEO’s to ensure
efficiency. Acts as the primary on-site contact for client and all
outside vendors. Conducts final inspection of reception area to
ensure adherence to client expectation . Ensures delivery of event
according to established BEO timelines. Serves as Manager on Duty
during event and resolves any service or personnel issue quickly
and effectively. Upholds all rules and regulations as determined by
State of Maine regarding the consumption of alcoholic
beverages.
