We are seeking a Purchasing Administrator team member for our client site in Groton, CT. The successful candidate will have outstanding planning skills and will be committed to working with others to deliver best in class, unparalleled excellence in customer service and satisfaction. Typical work hours for this role are 8:00 am - 4:30 pm; hours may vary based on business demand. This position will require some overtime, particularly during seasonal peaks in purchasing. As the Purchasing Administrator, your daily duties for this role will include: Facilitating communication between multi-site business customer and service vendors. Submitting purchase requisitions, working closely with customers to ensure timely approval, and initiating/collecting supporting documentation. Initiating purchase change order to adjust funding, time limits, and quotes. Providing oversight for PO verification/validation. Managing all aspects of invoice reconciliation, including validating accuracy of purchase order, work order, and expense coding; confirming alignment with service quote and payment terms; verifying serviced has been performed; handling approval process; and clearing unmatched invoices, etc. Collaborating with management and customers regarding cost reduction. Maintaining vendor records by updating an ensuring accuracy of information. Working to maintain current listing of site-based vendors. Partnering with management to facilitate current year purchase order close out process. Updating and maintaining Share-Point Purchase Order and Vendor Contact areas. Performing other duties as assigned by Manager or Supervisor. Minimum Requirements High School Diploma or equivalent. Associates degree or technical diploma may substitute for 2 years of experience. 3 years of experience as a Purchasing Clerk/Buyer or an Administrative Specialist/Assistant in a business environment or related field. Experience in one or more: purchasing, expediting, and logistics. Strong written and oral communication skills and ability to work in a team environments. Ability to obtain site specific security access including all applicable background checks. Ability to work overtime, holidays, various shifts, weekends, and alternative work schedules. Ability to obtain an appropriate driver's license issued by the State Department of Motor Vehicles, as requested. Must be a United States citizen or Permanent Resident. This position does not include sponsorship for United States work authorization. Some physical requirements include: Ability to move light to medium weight materials into desks, filing cabinets, and other storage locations. Ability to occasionally lift up to 20 pounds. Repetitive wrist movement. Ability to read and understand information contained in a variety of documents or displayed on a computer screen. Ability to use a variety of office equipment and to operate a computer keyboard to access data bases, to send/receive messages and to prepare documents. Ability to attend meetings throughout the site. Ability to communicate with others on the telephone and in one-on-one or group discussions, meetings, and presentations. Some moving of light to medium weight materials into desks, filing cabinets and other storage locations. Cope with demands (stressors) that are associated with the job and/or the work environment so that acceptable levels of performance and overall contribution are maintained. Wear steel toe safety shoes, safety glasses, gloves, hard hats, and other Personal Protective Equipment as needed. Pfizer Site Requirement: All employees and contractors working at a Pfizer site must be fully vaccinated against covid-19 by November 15, 2021 unless there is an approved medical or religious exemption. "Fully vaccinated" is defined as receiving the full dose therapy of an EUA approved covid-19 vaccine and being 14 days post the completion of the required dose regimen. Preferred Qualifications Associate degree or 3 years of completed college coursework directly related to procurement/purchasing. Strong proficiency with Microsoft Office software, particularly Microsoft Excel. Experience working with subcontracts or vendors. Experience using data entry software. Experience working in purchasing or as a buyer in a manufacturing, maintenance, or a related service field. Experience working as an administrative specialist or support role in a manufacturing, maintenance service, or corporate environment.High School Diploma or equivalent.
