Program Coordinator - Vascular Access Service (FT) Day

Job Description:

Purpose:

Provides administrative support to the VAS staff; assists in the overall functioning of the program, and manages special projects as assigned. Performs advanced, diversified, and confidential coordination requiring broad and comprehensive experience, skill, and knowledge of organizational policies and practices. Coordinates and tracks program activities, data reporting, communications, event coordination and messaging.

Key Responsibilities:

  • Receives and records all incoming VAS task requests and assigns to appropriate staff member using algorithm provided by UNM. Calls are received via text page, numerical page, or phone call.
  • May field calls such as requests for supplies
  • Must be able to delegate calls if needed
  • Candidate must be able to handle frustrated customers including other nurses, providers, and patients in a calm and professional manner
  • Candidate must be able to multitask in a fast paced environment
  • Tasks are assigned using Trillian, or EPIC chat if needed
  • Ensures that all tasks and nursing assignments are entered into a daily Excel spreadsheet with complete patient information and time of task. These spreadsheets are maintained on the VAS I-drive. Spreadsheets are critical, must be maintained per department policy as they are used by UNM and unit director for:
  • Anticipating staffing needs
  • Budgeting for FTEs
  • Reviewing staff productivity and estimated task completion times
  • Call time disputes
  • Patient tracking for situations such as infectious disease exposures
  • Schedules PICC placements for outpatients and coordinates PICC placements at outside facilities as needed
  • Facilitates PICC placements by maintaining contact with PICC nurse and ensures that patient needing line placement prior to discharge are prioritized to assist with through-put.
  • Orders office supplies and special order medical supplies as needed using in-house ordering system and DH approved vendors.
  • Orders VAS specific medications and ensures delivery of said medications
  • Distributes IV specific supplies to other units as needed
  • Ensures that Vascular Access specific worksheets are up to date and stocked, using Microsoft Word
    11. Maintains log of VAS assigned computers, pagers, ultrasounds and I-Pads; facilitates repairs or replacements as needed.

    12. Assist with scheduling, anticipating staffing needs and contacting appropriate people if needs arise.

    13. Refers all incidents, complaints, and problems to the supervisor and/or manager.

    14. Performs other duties as required or assigned.

    Minimum Qualifications:
  • High school graduate with strong background in medical terminology.
  • The ideal candidate will have strong computer skills (Excel and Word)
  • Exceptional customer service required, including phone calls and personal interactions with all DH employees, providers from outside hospitals, and patients.
  • Previous work in the medical field preferred.
    Required Licensure/Certification Skills:

    CPR certification required within the first six months.
