Come join our fantastic team at Maine Veterinary Medical Center, a Level One VECCS certified hospital! We are looking for an experienced Financial Coordinator to help manage the day-to-day inpatient charge captures and payment processes for the hospital. As the Financial Coordinator, you will ensure that all invoices are accurate for inpatient and hospitalized patients, and work with hospital leadership to rectify recurring capture issues and areas for process improvement. This role will also have primary responsibility for coordinating and maintaining alternate payment options, providing clients with billing updates, and collection of accounts receivable.This role is an integral part of the hospital administrative team and is eligible for our quarterly bonus structure! We are looking to hire two individuals for this role to insure 7-day-a-week coverage working one weekend day a week will be required. Key Responsibilities:

  • Assume primary responsibility for charge capture for hospitalized cases by auditing patient records/charts with invoices to ensure charge accuracy
  • Maintain responsibility for auditing for accuracy and verifying charges correctly line up with patients treatment record
  • Work with hospital leadership to correct recurrent charge capture issues and creating/upholding charge capture protocols
  • Create training programs and protocols to insure proper financial hygiene and best practices by all levels of staff
  • Educate and guide clients in financial support options (ie CareCredit, Scratch Pay, Wells Fargo and Sunbit) and coordinating and maintaining payment plans
  • Provide clients with billing updates on hospitalized patients and review treatment plan and estimates
  • Collecting deposits on estimates as needed for ongoing care, both in person and over the phone
  • Implement process to ensure that owners are updated about financial requirements and changes every 12 hours
  • Review client financial details and confirm all relevant information is collected in order to facilitate charge capture and ongoing payment
  • Create increased compliance with "payment at the time of service" model, especially for outpatient invoices (both specialty and emergency)
  • Other duties as assigned Requirements:
    • College degree highly desired; prior education in financial fields a plus
    • Must have a minimum of 2 years in a similar role handling client financial interactions OR prior experience in an emergency veterinary field and some client care experience
    • Must be friendly, outgoing and people-oriented and able to interact with all levels of staffing in a professional manner.
    • Excellent communications skills, both written and oral
    • Must be able to prioritize multiple tasks at once, and deal with high levels of stress in an environment of changing priorities
    • Experience with money related conversations and financial auditing
