*Job Summary: * As the first face an individual sees upon entering the Mill operations building, the HR administrative receptionist assistant is responsible for professionally and positively representing the values of Darn Tough Vermont. It is important this role understands the operations and practices in order to assist future and current employees. This role requires an excellent sense of organization due to the flexibility of its responsibilities supporting several parties including front desk reception and assisting Recruitment and the human resources team members. **_This role is expose to a variety of forms of confidential information and requires the upmost professionalism to recognize and maintain confidentiality._* *Key Responsibilities: * *_Reception_* * Provide excellent customer service both internally and externally. Greet all visitors with a positive, helpful attitude. Ensure a safe workspace by screening visitors. Check visitors into the Mill, ensure they have signed the visitor log and have the appropriate name tag. Assist visitors in finding their way around the Mill and/or Nantanna and announcing visitors when necessary. * Provide exceptional phone service by answering incoming phone calls and assisting the caller by supplying the appropriate information and/or transferring their call to the appropriate DTV contact. * Organize and facilitate roundtable meetings with senior leadership. * Attend to hospitality arrangements for select visitors, including tours, local lodging, and food and beverage setups for meetings. * Know, understand, and be prepared to execute on security and emergency protocols. * Manage a variety of administrative asks that assist in the day to day running of the front office. Check fax machine daily and distribute any incoming faxes to their recipients, scanning and emailing important and necessary documents, collecting the mail, sorting, and distributing. Maintain a safe and clean reception area by developing and complying with front desk procedures, rules, and regulations. Maintain the front desk vacation calendar which lists office admin absences and vacations. *_Recruiting_* * Performing clerical recruiting functions both internally and externally. Aligning Administrative Assistant functions greeting and answering applicants, candidates, and alike phone calls, ensuring all the required paperwork filled out to completion, scanning documents, making photocopies, and other recruiting administrative and coordination tasks as required. * In some instances, the HR/Administrative Assistant is the first point of contact between applicants and the hiring managers, assisting in screening application before moving their application forward review application material/resumes and cover letters, and set up phone screens. * Ensuring job requisition form is completed for all new/replacement posted. * Assist Recruiter in posting job internally and externally, and ensure positions are communicated internally. * Scheduling phone screens, interviews. Involving coordinating schedules, creating calendar invites, sending interview confirmations, monitor e-mail & phone communications, and reconciling interview cancellations. * Communicate professionally to clients, customers, vendors, and other parties. * Assists with all candidate data entry to input and update applicant information in the candidate database, upholding confidentiality & accuracy when handling applicant & candidate information.* On a weekly basis, ensure metrics are up-to-date. * Attend weekly recruitment meeting, taking minutes and any actions, and keeping them updated on regular basis. * Assist in drafting offers for review by Recruiting and/or Hiring Manager and sending finalized offers e-packets to candidates. * Work with candidates, counterparts and hiring managers to organize new employees 1st day agenda and Onboarding, with excellent and clear communications to all parties. * Great familiarly with Social networking sites, job applicant systems Applicant Tracking Systems, job boards, and social media and networking sites to reach potential applicants. * Career Fairs Track, register, organize, and secure attendance for all attending career fairs/events. * Highly organized with ability to independently time-manage. * Ability to work in a fast-paced environment where there are competing priorities. Effective time management skills to ensure operations run smoothly and on-time. * Have the confidence to offer creative solutions and innovative ideas to continuously improve processes. *_Human Resources/Safety_* * Support company-wide communication via email, newsletters, break room televisions, as well as, delivering internal messages. * Plan and execute company events and activities to include: Holiday party, Co meetings, summer party and other events as assigned. * Manage the employee suggestion program Why Do We* Send out a variety of condolences and celebratory notes to employees & their families as needed. * Assist with new hire tasks, manage organizational chart via Microsoft PowerPoint, process termination tasks, maintaining employee files, manage employee discounts through Shopify, as well as birthday sock emails * Support the safety officer through a variety of administrative efforts and tasks as needed *Qualifications: * * Ability to manage confidential information with the highest level of professionalism. * Outstanding written and verbal communications skills; you must be able to communicate articulately, politely, and professionally on the phone, in person and in writing. * Personal computer knowledge with quick and accurate typing skills. Fluency in Microsoft applications including Word, Excel, PowerPoint, and Outlook. Advance knowledge in Microsoft Excel, PowerPoint and Outlook a plus. Ability to learn new, various computer systems and software is required * Prior experience in a role of coordination and/or administration. * Consistent, professional manner and attitude * Able to contribute positively as part of a team, helping out with various tasks as required. * A sense of urgency and self-motivation. * Effective time management skills. The ability to multi-task with excellent follow-through. * High school diploma or equivalent required. * Previous HR or Recruiting coordination experience a plus. *Working Conditions: ** Administrative Office environment within a manufacturing environment with exposure to noise and other conditions for limited periods of time depending on the role. * Flexible nature to manage competing and changing priorities. * Sitting or Standing at desk for duration of shift. * Occasional travel locally to all of the organizations sites and locations.
